The Contractors page can be used to manage contractors and temporary employees working at your organization. Contractors are different from employees in that they are temporarily active for your organization. You are billed only for those contractors that were active on each day. To start managing your contractors navigate to the Contractors page.

Adding contractors can be done individually or via import.


Adding Contractors Individually


1. Select Add Contractor 

2. Fill in the appropriate information: 

  1. Email (Required)
  2. First Name (Required)
  3. Middle Name
  4. Last Name (Required)
  5. Location (Required)
  6. Cell Phone
  7. Contractor ID
  8. Badge ID
  9. Title
  10. Office Phone
  11. Shift
  12. Home Address
  13. Home City
  14. Home State
  15. Home Zip
  16. Groups


3. Once you fill out this information and hit save, the system will prompt you to fill in the dates that the contractor will be working. These can be set at the current date, or scheduled to become active in the future. 


4. Click Add




Multiple scheduled dates can be saved. For each set of dates the user will select a start and end date, and then click Add. The "Scheduled Dates" list shows the date ranges where the Contractor will be active. Current and future Scheduled Date ranges can be edited or deleted.



Adding Contractors Using Import



1. Select Import from the Contractors page.





2. Select Download Required CSV Template



3. Open the file in Excel or Numbers and fill in the following information:

  1. Location (Required)
  2. Email (Required)
  3. First Name (Required)
  4. Middle Name
  5. Last Name (Required)
  6. Cell Phone
  7. Contractor ID
  8. Badge ID
  9. Title
  10. Office Phone
  11. Shift
  12. Home Address 1/2
  13. Home City
  14. Home State
  15. Home Zip
  16. Groups
  17. Start Date (MM/DD/YYYY)
  18. End Date (MM/DD/YYYY)
  19. Removed (when adding Contractors leave this column blank. It can be used later to deactivate a contractor later.)


Please Note: If no start date or end date are entered, the Contractor will be active upon import. Your billing cycle for Contractors will begin. To avoid this be sure to have the appropriate start date and end date to ensure your billing is accurate. Only one date range can be set via import. An additional date range can be entered by doing multiple imports using the same Contactor information with a different date range. You can also add scheduled dates manually.

Also Note: You can tell if a Contractor is active by clicking Active at the top of the Contractors page.



4. Save the file somewhere you can find it again.

5. Select Choose File.


6. Navigate to the file you saved. Select the file and click Open.


7. Then select Import CSV.


Once a contractor is created you can change their information at any time by hitting Edit. You can also edit or add dates by clicking Scheduled Dates.
